By nature, I'm one of those "a spot for everything" type of girls.&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;When I started my practice in 2001, staying organized, for the most part, meant keeping the papers organized.  With the increase in all things digital, organization has become a bit more tricky - some things still on paper, others via e-mail and electronic files.  How does one keep track of both digital and physical using one system?  &lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;That's where I've always run into problems.  After spending years learning from those who came before, I've added my own thoughts to the mix and come up with the D-A-F-T process for organization. Here's the 7 top scariest things I hear when consulting business owners about their processes:&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;&lt;br /&gt;&lt;br /&gt;7.  I use ordinary e-mail to transfer the files and documents between myself and my _________ (staff, clients, colleagues,VA,  team members).&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;6.  I know, I know - I really do plan on getting to backing up my computer.&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;5.  I don't use a computer guy - I just go to _______ (Best Buy, Circuit City, Stapes); and the equally bad&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;4.  My ______ (grandson, nephew, neighbor's kid) takes care of my computer.&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;3.  I have an e-mail address, it's on my letterhead. No, I never check it.  Why?&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;2. Although I consider myself quite the techy-girl, my preferred method to capture random thoughts is a plain old paper calendar/notebook.  I just find I remember things better when I physically write them down. &lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;2.  &lt;span style="font-weight: bold;"&gt;Use your lists and tools, consistently.&lt;/span&gt;  If you do not always make a note when you think of it, chances are you will stop making notes altogether.  When you're not making notes - you're relying on your brain to remember - which as stated above, is not the best tool for the job!  Obviously when you put a system in place, you have to stick with it or you will end up right back where you stared - in need of a system to stay on top of everything!&lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;3.  &lt;span style="font-weight: bold;"&gt;Archive and search - don't file.&lt;/span&gt;  I agree with this to a point.  I stopped trying to create projects, rules, categories and folders as a way to get a handle on e-mail about three years ago.  I realized I was spending far too much time creating all of this "organization" - yet whenever I needed something, I still couldn't find it!  Now, I file all e-mails in a folder by month (i.e., 2008-08).  Since I can generally recall about the time frame of a certain missive - I just head on over to that month's folder, sort by name and 9 times out of 10, viola!  (P.S. This also assists with back up and storage as I print each month's folder to .pdf and add it to My Documents for inclusion with my back up system.)    &lt;/span&gt;&lt;br /&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;4.  &lt;span style="font-weight: bold;"&gt;Make it quick and painless.&lt;/span&gt;   I wholeheartedly agree that whatever system you put in place, that it be something extremely easy to get at and use. - which comments on the technology tagged by &lt;/span&gt;&lt;a style="font-family: arial;" href="http://www.laptopmag.com/"&gt;Laptop Magazine&lt;/a&gt;&lt;span style="font-family:arial;"&gt; in its September 2008 issue as soon to be extinct/replaced.  Here's the list:&lt;/span&gt; &lt;/span&gt; &lt;blockquote  style="font-family:arial;"&gt;&lt;ol&gt;&lt;li&gt;&lt;span style="font-size:100%;"&gt;Landline phones and dial-up Internet - replaced by broadband.&lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style="font-size:100%;"&gt;Desktop Computers - replaced by notebooks or all-in-one touchscreen PC's.&lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style="font-size:100%;"&gt;Wired "wall-wart" chargers - this may be the most welcome extinction as contactless charging emerges.&lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style="font-size:100%;"&gt;Hard drives - Solid State Drives (SSD's) are here now and growing in capacity while falling in price.  &lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style="font-size:100%;"&gt;USB and video cables - replaced by short-rang&lt;/span&gt;&lt;span style="font-size:100%;"&gt;e wireless technology.&lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style="font-size:100%;"&gt;Optical media (DVD's and CD's) - Multimedia content will be streamed from the web,not stored locally on optical media.&lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style="font-size:100%;"&gt;USB flash drives - will follow the floppy disk into extinction as data "in the cloud" becomes available through all-the-time everywhere broadband connections.  &lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style="font-size:100%;"&gt;Satellite radio - replaced by streaming content &lt;/span&gt;&lt;span style="font-size:100%;"&gt;over mobile broadband, even in your car.&lt;/span&gt;&lt;/li&gt;&lt;/ol&gt;&lt;/blockquote&gt;&lt;span style="font-size:100%;"&gt; &lt;span style="font-family:arial;"&gt;Here's my take:&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;1.  What happens when the broadband goes out?&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;2.  Desktop computers are the work horse of the information age.  Hardwired to the Internet using cable and a password protected firewall connection is the best/safest possible.  Desktops are not going anywhere anytime soon! ;)&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;3.  No comment other than I hate wires so "Yeah!"&lt;br /&gt;&lt;/span&gt;&lt;/span&gt;&lt;br /&gt;&lt;span style="font-size:100%;"&gt;&lt;span style="font-family:arial;"&gt;4. No comment.&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;5.  See #3 above.&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;6.  DVDs and CDs are a very economical way to transport digital media for use in all different types of equipment.  I see them improving by being made out of more sturdy materials or coated with something to make them resist scratching.&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;7.  Not a huge fan of portable storage devices - especially for users who handle their SD/USB all the time, plug it into all different types of equipment and then wonder why it's acting "funny".   Lets not forget they are very easily LOST with lots of information generally best left private.&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;8.  Who's the big fan of broadband?  Laptop Magaizne ... NO!  hehehehe Well, not me - that's for sure. And even today, you can order (for a premium) your new notebook PC with a Solid State Drive.&lt;br /&gt;&lt;/span&gt;&lt;/blockquote&gt;&lt;span style="font-size:100%;"&gt; &lt;span style="font-family:arial;"&gt;I see law firm communications taking advantage of VoIP but through carriers who provide the actual wired internet service to their offices.  Why?  Lawyers need someone to yell at and workman with tools around very quickly when something isn't working!  1-800 service to far away customer support centers don't really cut it in the legal realm (nor should they in any other industry IMHO).  &lt;/span&gt;  &lt;span style="font-family:arial;"&gt;And finally:&lt;/span&gt;  &lt;/span&gt;&lt;blockquote  style="font-family:arial;"&gt;&lt;span style="font-size:100%;"&gt;But I personally will miss my Sirius satellite radio service.  Anyone who spends much time driving knows how vapid broadcast radio has become.  Sirius (and probably XM, although I am not as familiar with that service that is soon to merge with Sirius) provides a nice mix of music and news.  I especially enjoy the two full-time NPR channels.&lt;br /&gt;&lt;/span&gt;&lt;/blockquote&gt;&lt;span style="font-size:100%;"&gt; &lt;span style="font-family:arial;"&gt;I too am a fan of Sirius radio - and also don't see it going anywhere to be missed.  My preferred Channels are 15 and 21.  The reason I love Sirius so much is the fact that I am not subjected to commercials such as NY's public service message - "If You See Something, Say Something" or the even better "I'm a mother of two who has breast cancer but I know I'm going to be ok because of such and such place".&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;As a person who could see the smoke rising on 9/11 - hearing that See Something/Say Something commercial several times a day keeps you tense.  Of course, I'm also a mother of two who lives in the greatest density of breast cancer in the nation. Think:  micrpspft.com, tatget.com,  legaltypst.com.&lt;br /&gt;&lt;br /&gt;The squatted domain owner puts up content based on their intent - from making it look as close to the original as possible to try and capture credit card and other confidential information to downloading malicious code onto visitor's computers. It can also lead to data leakage.  The more secretive attacker doesn’t even put up a page to correspond with the squatted-domain. Organizations that follow proven practices for protecting their email and good name are reasonably safe. I just started using it - it's the wave of the future - I work with clients by e-mail all the time - My clients wouldn't hire me if I don't use e-mail.&lt;br /&gt;&lt;/i&gt;&lt;br /&gt;I've heard it all and I still say every business should remove e-mail from their processes where they can.&lt;span style=""&gt;  &lt;/span&gt;Here's three good reasons: &lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;b&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;1.    Security Issues&lt;/span&gt;&lt;/b&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;&lt;br /&gt;&lt;br /&gt;I cannot stress this one enough. Any information you send in the content or as an attachment to an e-mail can be intercepted, reviewed and altered by the owner of the electronic equipment it touches - you know the wires, routers and switches that physically make up the Web.&lt;span style=""&gt;  &lt;/span&gt;(Everyone forgets that the Web has a physical component.)&lt;br /&gt;&lt;br /&gt;Is it LIKELY that someone is intercepting your communications? No. Is it possible? Absolutely! That’s why you don’t use e-mail to transmit things like credit card information, let alone attorney work product.&lt;span style=""&gt;  &lt;/span&gt;&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;For attorneys, it’s not just that confidential information can be intercepted.&lt;span style=""&gt;  &lt;/span&gt;There are other hazards as noted by legal blogger Brian Ritchey, Esq. of &lt;/span&gt;&lt;b style=""&gt;&lt;span style="font-size: 9pt; font-family: Verdana; color: blue;"&gt;&lt;a href="http://www.morepartnerincome.net/"&gt;&lt;span style="color: blue;"&gt;www.MorePartnerIncome.net&lt;/span&gt;&lt;/a&gt;&lt;/span&gt;&lt;/b&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;.&lt;span style=""&gt;  &lt;/span&gt;On February 1st he published: &lt;/span&gt;&lt;i style=""&gt;&lt;span style="font-size: 9pt; font-family: Verdana; color: black;"&gt;&lt;a href="http://www.morepartnerincome.net/2008/02/01/unencrypted-emails-between-attorneys-and-clients-may-not-be-privileged/" title="Click here to open a new window and read the article"&gt;&lt;span style="color: black;"&gt;Unencrypted E-mails Between Attorneys and Clients May Not Be Privileged&lt;/span&gt;&lt;/a&gt;&lt;/span&gt;&lt;/i&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;.&lt;span style=""&gt;  &lt;/span&gt;Along with the comments thereto, this is the best discussion I have seen amongst attorneys on the subject of security and e-mail.&lt;span style=""&gt;  &lt;/span&gt;&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;b&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;2. Administration Woes&lt;/span&gt;&lt;/b&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;&lt;br /&gt;&lt;br /&gt;Business owners are required to save and store their business e-mails in the same manner as they do other business records. Over time, the data storage needs increase and the larger the business, the larger that cost in terms of actual server space plus the time that one pays (or puts in) to verify that the data is being saved, backed up, archived, etc.&lt;br /&gt;&lt;br /&gt;Along with the storage aspect of e-mail, it is also difficult to keep an accurate client file.  Although most firms &lt;b style=""&gt;&lt;i style=""&gt;wish&lt;/i&gt;&lt;/b&gt; to be &lt;span style=""&gt;paperless&lt;/span&gt;, the reality is, law is a paper intensive industry and will likely continue as such for many years to come (if not indefinitely).&lt;span style=""&gt;  &lt;/span&gt;&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;Typically, e-mails are stored on a different network/PC drive/folder than client specific folders that store other records for that client.&lt;span style=""&gt;  &lt;/span&gt;For instance, if you use Outlook, everything is stored in Outlook's .pst file.&lt;span style=""&gt;  &lt;/span&gt;So how do you get a copy of e-mail messages into a client's electronic and paper files?   &lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;I run across the same solution all the time in law firms -- employees are required to print out each incoming and outgoing e-mail message to be placed within the physical file. &lt;span style=""&gt;  &lt;/span&gt;Old fashioned? &lt;span style=""&gt; &lt;/span&gt;Certainly - but it works! &lt;span style=""&gt; &lt;/span&gt;The best configuration is to have employees print each incoming or outgoing e-mail to .pdf and save that .pdf to the client's electronic folder.&lt;span style=""&gt;  &lt;/span&gt;Then print out a copy of the .pdf for the physical file. &lt;span style=""&gt;  &lt;/span&gt;This way the client's electronic file and physical file are always in sync.&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;b&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;3. The Ooops! Factor&lt;/span&gt;&lt;/b&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;&lt;br /&gt;&lt;br /&gt;Security does not just mean that the e-mail messages your business creates are only read by the intended recipient. A recent&lt;b style=""&gt; &lt;/b&gt;&lt;/span&gt;&lt;span style="font-size: 9pt; font-family: Verdana; color: black;"&gt;&lt;a href="http://www.law.com/jsp/legaltechnology/pubArticleLT.jsp?id=1207133080576&amp;amp;rss=newswire" title="Click here to open a new window and read the article"&gt;&lt;span style="color: black;"&gt;Law.com article&lt;/span&gt;&lt;/a&gt;&lt;/span&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt; (&lt;/span&gt;&lt;span style="font-size: 9pt; font-family: Verdana; color: blue;"&gt;http://tinyurl.com/3w48kt&lt;/span&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;) reported on how a law firm inadvertently sent an e-mail to a reporter instead of to their client. That e-mail, of course, contained sensitive and confidential information. This is what I call the built in Ooops! Factor for e-mail. It is really just too easy to dash off an e-mail and hit send.&lt;br /&gt;&lt;br /&gt;How many times do you check and recheck the e-mail address before hitting "send"? &lt;span style=""&gt; &lt;/span&gt;I check once when I'm drafting and it's the last thing I do before clicking on the send button. I don't just "look" at the address the second time. I literally read it out loud then click Send (a good practice to get into, IHMO).&lt;br /&gt;&lt;br /&gt;Even doing this, I have done other stupid e-mail faux pas - like using the "Reply All" button to send a private communication to a whole list, instead of one member on that list. Thank goodness that's only embarrassing and not fodder for a law suit!&lt;/span&gt;&lt;/p&gt;&lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;I understand that e-mail will be a part of how business is done for a very long time.  However, it should be used judiciously and not everything should be accomplished through it.  More and more services are setting up their processes to deliver whatever they "do" via e-mail.  Try to avoid this - especially for large volumes of files. &lt;br /&gt;&lt;/span&gt;&lt;/p&gt;&lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;So, what are your options?  As with anything techy - that varies depending on your existing equipment, processes, software and tech comfort level.&lt;/span&gt;&lt;/p&gt;&lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;In a 100% web based service, such as efaxing, one thing to look for would be the ability to log into a secure web based account to access your files rather than receive them via e-mail.  All efaxing services are different but many of them do offer this type of set up.   Add on notification via text (to your cell phone) and you're always in the know when a fax or file is received.  The service I recommend to manage all the incoming (calls, voicemails and faxes) is &lt;a href="http://www.legaltypist.com/onebox.htm"&gt;Onebox&lt;/a&gt;.&lt;br /&gt;&lt;/span&gt;&lt;/p&gt;&lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;Another option to sending files via e-mail is using a third party service such as  &lt;a href="http://www.legaltypist.com/sendthisfile.htm"&gt;SendThisFile&lt;/a&gt; or YouSendIt.  Users load files to their server, which automatically sends out a notification e-mail to the intended recipient.  In that notification is a link to access and download the file directly.  One small covering e-mail and the whole process is secure.  Not too shabby for less than $10 per month!  ;)&lt;br /&gt;&lt;/span&gt;&lt;/p&gt;&lt;p class="MsoNormal" style="margin-bottom: 12pt;"&gt;&lt;span style="font-size: 9pt; font-family: Verdana;"&gt;Along with file transfer services, you can create a private page on your domain.    &lt;p class="MsoNormal" style="text-align: justify;"&gt;&lt;span style="font-family:Arial;"&gt;According to Dictaphone, in 1952 recorded dictation was firmly established as a time saver over handwriting and stenography among attorneys, physicians and other professionals.&lt;span style=""&gt;  &lt;/span&gt;In 1957, the first “portable” dictation unit was created (which weighed in at a hefty 2 lbs!) and in 1973, the first mini-cassette recorder was marketed.&lt;span style=""&gt;  &lt;/span&gt;What this means is that using analog (tape based) dictation is the technological equivalent of listening to music on an 8 track!&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;    &lt;p class="MsoNormal" style="text-align: justify;"&gt;&lt;span style="font-family:Arial;"&gt;In today’s age, digital dictation technology affords attorneys, law firm administrators, companies which service the legal industry, law schools and other businesses and organizations a low cost means to incorporate the proven benefits of recorded dictation &lt;b style=""&gt;and&lt;/b&gt; compound those benefits by making the process digital.&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;    &lt;p class="MsoNormal" style="text-align: justify;"&gt;&lt;span style="font-family:Arial;"&gt;In addition to the time saving features of dictation itself, upgrading to digital can significantly decrease the cost of producing documents by re-examining the entire business process.&lt;span style=""&gt;    &lt;p class="MsoNormal" style="text-align: justify;"&gt;&lt;span style="font-family:Arial;"&gt;By going digital, one significant change is that there are no more tapes.&lt;span style=""&gt;  &lt;/span&gt;Instead, an electronic audio file is created which can be distributed just as any other type of electronic file – as an attachment to an e-mail, over your firm’s LAN to your secretary or through a VPN with an off site transcription service.&lt;span style=""&gt;  &lt;/span&gt;Immediately gone are the days when you have to stay late to hand off a tape to your secretary or drive into the office on the weekend to leave a tape on her chair.&lt;span style=""&gt;  &lt;/span&gt;As a bonus, by removing the tape’s physical presence, you also eliminate the need for YOUR presence!&lt;span style=""&gt;  &lt;/span&gt;Once digital, you can dictate on the road, while waiting for a case to be called or even from the comfort of your favorite recliner!&lt;span style=""&gt;  &lt;/span&gt;(OK, not likely, but still possible!) :)&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;    &lt;p class="MsoNormal" style="text-align: justify;"&gt;&lt;span style="font-family:Arial;"&gt;Another bonus of no more tapes – you will never have to redo a dictation because the tape got lost, recorded over, or eaten by the transcription machine.&lt;span style=""&gt;  &lt;/span&gt;Once your voice is captured, it can be stored indefinitely!&lt;span style=""&gt;  &lt;/span&gt;&lt;b style=""&gt;&lt;/b&gt;&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/p&gt;    &lt;p class="MsoNormal" style="text-align: justify;"&gt;&lt;span style="font-family:Arial;"&gt;Hospitals, doctors and those within the medical industry have been using digital dictation as a standard business practice for over a decade.&lt;span style=""&gt; A "soft" reboot is when you restart your system pressing Ctrl+Alt+Del twice - which I only recommend if you have already waited at least five minutes after your screen/keyboard freeze and you can get no other keys to work (like Esc). &lt;/span&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p&gt;&lt;span style="font-size:85%;"&gt;&lt;span style="font-family:Arial;"&gt;I like to give a little cleaning before powering down, just to get rid of all those bits and temp files. Before I hit the power button, I save all work and close all the active programs. &lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p&gt;&lt;span style="font-size:85%;"&gt;&lt;span style="font-family:Arial;"&gt;I then run a disk clean (double click My Computer, right click on C Drive (or the letter of your main drive), Properties, Disk Cleanup button). When you do so, your hard drive will assess which files should be deleted and will list them and ask you to confirm. When you do, it will take a few moments or several minutes depending on how much there is to delete! Once this process is complete, I turn off the PC by pressing the button hard enough to hear and feel a solid click. You have no idea how many people tell me they barely hit the button, providing an instant power down/up scenario hardly healthy for electronic equipment! Really, push the button with purpose and pay attention! ;) &lt;/span&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p&gt;&lt;span style="font-size:85%;"&gt;&lt;span style="font-family:Arial;"&gt;I turn my computer off each Sunday afternoon after doing the above and running a virus scan and back up. I then do not power back up until 9 am Monday morning - refreshed and ready for business again.&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/span&gt;&lt;/p&gt;  &lt;p&gt;&lt;span style="font-size:85%;"&gt;&lt;span style="font-family:Arial;"&gt;By the way, I don't just think it’s just my PC which benefits from this weekly "power down" ritual!  ;)&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;/span&gt;&lt;/p&gt;  &lt;/blockquote&gt;&lt;br /&gt;&lt;span style="font-family:arial;"&gt;Although I have tweaked the power down process a bit by using an application called &lt;/span&gt;&lt;a style="font-family: arial;" href="http://www.ccleaner.com/"&gt;CCleaner&lt;/a&gt;&lt;span style="font-family:arial;"&gt; to do the clean up of my PC, the actual ritual is still in place five years later.&lt;br /&gt;&lt;br /&gt;This is because I found that powering off my PC is the only way for me to keep my focus off my business. I am sure I am not the only e-preneur who has difficultly NOT thinking about the myriad of projects or open ended items they could be tending to at any given moment.&lt;br /&gt;&lt;br /&gt;With the power off, there's no excuse for me to even walk into my hoffice to "check" anything. My family is thrilled, I'm more relaxed and my electronics and keyboard get a day off too!&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;Why I bring this all up is because recently I came across a New York Times' article entitled:  &lt;/span&gt;&lt;a style="font-family: arial;" href="http://www.nytimes.com/2008/03/02/fashion/02sabbath.html?ei=5124&amp;amp;en=74ad7f9264b36784&amp;amp;ex=1362114000&amp;amp;partner=permalink&amp;amp;exprod=permalink&amp;amp;pagewanted=all"&gt;I Need A Virtual Break, No Really&lt;/a&gt;&lt;span style="font-family:arial;"&gt; by Mark Bittman.  &lt;/span&gt;&lt;span style=";font-family:arial;font-size:100%;"  &gt;A professed &lt;/span&gt;&lt;span style="font-style: italic;font-family:arial;font-size:100%;"  &gt;techno-addict&lt;/span&gt;&lt;span style=";font-family:arial;font-size:100%;"  &gt;, Mr. Bittman discusses his journey in finding balance in our highly connected world.   He concludes:&lt;/span&gt;&lt;br /&gt;&lt;blockquote&gt;&lt;span style=";font-family:Arial;font-size:85%;"  &gt;I would no more make a new-agey call to find inner peace than I would encourage a return to the mimeograph. But I do believe that there has to be a way to regularly impose some thoughtfulness, or at least calm, into modern life — or at least my version. Once I moved beyond the fear of being unavailable and what it might cost me, I experienced what, if I wasn’t such a skeptic, I would call a lightness of being. I felt connected to myself rather than my computer. I had time to think, and distance from normal demands. Where do you research/buy domain names?  &lt;a href="http://www.godaddy.com/"&gt;www.godaddy.com&lt;/a&gt; and &lt;a href="http://www.register.com/"&gt;www.register.com&lt;/a&gt; are two reputable registrars.&lt;br /&gt;&lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style=";font-size:100%;" lang="EN" &gt;&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;&lt;span style=";font-size:100%;" lang="EN" &gt;Have fresh, clean content with no large files or lengthy downloads.&lt;span style=""&gt;  &lt;/span&gt;Picture and sound files are notoriously large.  If you use a flash intro – lose it!&lt;span style=""&gt;  &lt;/span&gt;Flash intros not only cause very lengthy load times, they may disrupt search engines from properly spidering your website and they are annoying to boot!&lt;br /&gt;&lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style=";font-size:100%;" lang="EN" &gt;&lt;o:p&gt;&lt;/o:p&gt;&lt;/span&gt;Have professionally edited text that has been proof read.&lt;span style=""&gt;  &lt;/span&gt;Make sure that all links and pages are tested from an “outside” computer.&lt;span style=""&gt;  &lt;/span&gt;To clean text, block/copy into Notebook and then block/copy from Notebook into the on line editor.&lt;span style=""&gt;  &lt;/span&gt;Notebook strips away any stray code.&lt;/li&gt;&lt;li&gt;&lt;span style=";font-size:100%;" lang="EN" &gt;Use language that speaks to your audience, have clear and easy to follow navigation, professional headshots of firm personnel and prominently post the firm address and phone number.&lt;span style=""&gt;  &lt;/span&gt;For SEO purposes it doesn’t hurt to publish a Google Map on your contact page.&lt;span style=""&gt;  &lt;/span&gt;Statistically speaking, you will get more contacts if you also list an e-mail on your landing/home page.&lt;span style=""&gt;  &lt;/span&gt;However, for spam purposes, I recommend that you use a generic address such as “contact” or “info” @yourdomain.com&lt;/span&gt;&lt;/li&gt;&lt;li&gt;&lt;span style=";font-size:100%;" lang="EN" &gt;You also want to make sure that you provide fresh content to your website on a regular basis.&lt;span style=""&gt;   &lt;/span&gt;Some painless content can be found by listing partner speaking engagements, adding published articles or a copy of the firm’s newsletter.&lt;/span&gt;&lt;/li&gt;&lt;/ol&gt;&lt;span style="font-family: arial;"&gt;If you do not wish to learn how to build and/or maintain a website, you have lots of options.  You can hire a legal specific company such as &lt;/span&gt;&lt;a style="font-family: arial;" href="http://www.legaltypist.com/NextClient.htm"&gt;Next Client&lt;/a&gt;&lt;span style="font-family: arial;"&gt; or small firms such as &lt;/span&gt;&lt;a style="font-family: arial;" href="http://venuecom.com"&gt;Venue Communications&lt;/a&gt;&lt;span style="font-family: arial;"&gt;.  There are also lots of web designers and coders listed as Virtual Assistants at both the  &lt;/span&gt;&lt;a style="font-family: arial;" href="http://www.ivaa.org"&gt;IVAA&lt;/a&gt;&lt;span style="font-family: arial;"&gt; and &lt;/span&gt;&lt;a style="font-family: arial;" href="http://vanetworking.com"&gt;VANA&lt;/a&gt;&lt;span style="font-family: arial;"&gt; websites. &lt;/span&gt;&lt;br /&gt;&lt;br /&gt;        &lt;p class="MsoNormal" style="font-family: arial; It was from Tracy, LegalTypist's operations manager - who had advised me she was sending it because it was so funny.  She told me I had to open it.  (Tracy knows how wary I am of such things....)&lt;br /&gt;&lt;br /&gt;&lt;/span&gt;&lt;span style="font-family:arial;"&gt;Anyway, I did ...... and....   she was right!
